Privacy Policy
This policy explains how Fleet AI (“Fleet AI”, “we”, “us”) handles personal information when you visit tryfleet.ai, book a call with us, or use the Fleet AI app at app.fleet-ai.co (the “Service”).
1. Who is responsible
Fleet AI is responsible for the personal information described here. For questions about it, contact us at privacy@tryfleet.ai.
When our customers use the Service, they decide what work the AI agents do and what data the agents see on their computers. For that data, the customer is responsible for its handling, and we process it on the customer’s behalf and following their instructions.
2. What we collect
Account information. Your name, email address and organization name. If you sign in with Google or Microsoft, we receive your name, email address, whether the provider has verified that address, and an identifier for your account with that provider. We do not receive your Google or Microsoft password, and we do not ask for access to your mailbox, files or contacts.
Security information. Your password (stored only as a one-way hash), your two-factor authentication settings, and an audit log of sign-ins and important actions, including the IP address and time.
Billing information. Your balance, top-ups and charges. Payments are processed by Stripe: we receive the payment’s status and the last details Stripe shares with us, never your full card number.
Data from the work you run (Your Data). To do the work you ask for, the Service captures screenshots of the connected computer’s screen, reads text, documents and files the task needs, and records each run step by step, with the AI’s reasoning. Depending on what is on screen, this can include personal information about your customers, employees or suppliers.
Credentials you store. Logins you save in a vault are encrypted. They are typed into the target application without being shown to the AI model or to anyone, including our staff.
Computer information. For each computer you connect: its name, operating system, agent version, and connection status.
When you contact us. If you book a call on tryfleet.ai, we receive your name, email, company and the details you include in the form.
Website. tryfleet.ai does not use advertising or analytics cookies. Our hosting provider, Cloudflare, processes technical data such as IP addresses to deliver the site and protect it from attacks.
3. Why we use it
- To provide the Service: create and secure your account, run your agents, show you results and recordings, and process your payments.
- To keep the Service and your account secure: detect and stop fraud, abuse and attacks, and keep an audit trail.
- To support you and communicate with you about your account, billing, security and changes to the Service.
- To improve the Service, using information about how it performs, such as error rates and run outcomes.
- To meet our legal obligations.
We do not sell personal information, and we do not use Your Data to train AI models.
4. Who we share it with
We share personal information only with service providers that help us run the Service, and only what they need:
| Provider | What for |
|---|---|
| AI model providers: Anthropic, OpenAI, Google, and providers reached through OpenRouter | Interpreting screens and documents and deciding the next action during a run. They receive the screenshots, text and instructions a step needs. |
| Stripe | Payments |
| Cloudflare | Network delivery, security, and the secure connections between our servers and your computers |
| Resend | Sending emails such as booking confirmations and account notices |
| Google, Microsoft | Signing you in, if you choose to sign in with them |
| Our hosting providers | Storing and processing data on our servers |
We may also disclose information if the law requires it, to protect the rights, safety and security of our customers, our users or the Service, or as part of a merger, acquisition or sale of assets, in which case we will tell you.
5. Where it is processed
We are based in the United States. We and our providers process data in the United States and other countries, which may have different data protection laws than where you live. Where the law requires it, we use appropriate safeguards for these transfers, such as the European Commission’s standard contractual clauses, and our contracts with providers require them to protect the data.
6. How long we keep it
- Account and billing information: while your account is open, then as long as the law requires us to keep accounting and tax records.
- Run recordings, screenshots and other data from your runs: while your account is open, unless you delete them sooner. When you close your account, we delete them within 30 days, and from backups within 90 days.
- Audit logs: up to 2 years, for security.
7. How we protect it
Data is encrypted in transit. Stored credentials are encrypted. Access to customer data is limited to staff who need it to run and support the Service. Each run executes in its own isolated container. The Security page describes these measures in more detail.
8. Your rights
Depending on where you live (for example, under the GDPR, Canadian privacy laws, or US state privacy laws), you may have the right to:
- access the personal information we hold about you, and get a copy in a commonly used format;
- correct it;
- have it deleted, or stop us from using it for a purpose;
- withdraw your consent, where we rely on it; and
- complain to the data protection authority where you live.
To make a request, email privacy@tryfleet.ai. We answer within 30 days. If your information is part of a customer’s data (see section 1), we will forward your request to that customer.
9. Children
The Service is for businesses and is not meant for anyone under 18. We do not knowingly collect information from children.
10. Changes
We may update this policy. If a change is material, we will tell you by email or in the app before it takes effect. The date below shows when it last changed.
